How do I update my gym email address in Wodify?

Wodify allows you to customize the email addresses used for different triggers that may occur throughout your Wodify account. If you're going through a change in who manages your gym (or different areas of responsibility), updating your business email addresses, or changing your company branding, you may need to periodically make changes to your Wodify email settings. In this article, we'll go through all of your different email settings, where you can update them, and what specific emails are tied to these fields.

 

Gym Email

Gym email is used in the following scenarios:

  • Sales Portal email address
  • Placeholder fields in emails, ex. '[boxname]' 

How do I update my Gym Email?

  1. Go to Gym > Info & Locations
  2. Scroll down to 'Email'
  3. Update email address
  4. Click 'Save' at the bottom of the page

Location Contact Email

Your location email will be used in the following scenarios:

  • Mass Emails/Outbound Emails where the 'Send As' is set to your location name.
  • Responses to mass emails/outbound emails/automated emails from Athletes or Leads assigned to your location.
  • The location email that displays in your location signature.

How do I update my Location Contact Email?

  1. Go to Gym > Info & Locations
  2. Click 'Edit' next to Locations at the bottom of the page
  3. Click into your location
  4. Update email address
  5. Click 'Save' at the bottom of the page

Billing Contact Email

Every night around midnight, Wodify will attempt to charge any athletes with invoices that are due or past due. Once this process is complete, the admins/managers set as your location's billing contact will receive a Billing Results email of the outcomes for all attempted transactions. 

How do I update who receives the nightly billing results email?

  1. Go to Gym > Info & Locations
  2. Click 'Edit' next to Locations at the bottom of the page
  3. Click into your location
  4. Scroll to the Billing Information Section and click 'Edit'
  5. Select the Billing Contact and Billing Contact CC, if applicable, from the dropdowns
    1. Note: Only admins and managers will appear in this dropdown menu. If you want to add someone that is not an admin or manager, you will first need to update their athlete profile with Admin or Manager permissions
  6. Click 'Save' at the bottom of the page

Lead Form Notifications

Wodify allows you to create a custom form for your website or blog to capture leads. You can customize which email addresses will receive a notification each time someone submits this form on your website.  

How do I update my Lead Form Notification Email(s)?

  1. Go to People > Settings
  2. Click on the Lead tab at the top of the page
  3. Scroll to the Email Addresses Field in Form Setup
  4. Update the email(s) and click Save (Note: multiple email addresses are supported but need to be separated by a semicolon).

Feedback

Your athletes are able to send you feedback from the kiosk or mobile app at any time. You can customize which emails will receive a copy of this feedback in Wodify Admin. 

How do I update my Feedback Notification Email(s)?

  1. Go to Communication > Settings
  2. Click on the Feedback tab at the top of the page
  3. Change the Feedback Email Address(es) listed in the field and save (Note: multiple email addresses are supported but need to be separated by semicolon).

*Wodify Payments Customers Only*: Payout Deposit Notifications

If you are using Wodify Payments as your payment processor, you are able to customize which emails receive notifications of payouts that are deposited into your bank account.

How do I update who receives payout notifications?

  1. Go to Financial > Settings.
  2. Click on your Wodify Payments Configurations tab at the top of the page.
  3. Click into your Wodify Payments Configuration.
  4. Scroll to the Notifications Section
  5. Make sure "Send email notifications when payouts occur?" is checked off. 
  6. Add the name of the user who should receive these notifications or enter the email address of the person to be notified.

Wodify Subscription Contact Email

When you first sign up with Wodify, you provide us with a payment method that will be used to pay for your monthly Wodify subscription. Each default payment method has a Payment Contact, which will be the person notified every time there is a Wodify Subscription-related transaction.

How do I update who is notified about our Wodify Subscription?

  1. Go to Gym > Payment & Billing
  2. Click 'Edit' next to your Location's default payment method.
  3. Select your Payment Contact person from the dropdown.
    1. Note: Only admins will appear in this dropdown menu. If you want to add someone that is not an admin, you will first need to update their athlete profile with Admin permissions.

Note: Only legacy customers can update their Wodify Subscription Contact and payment method within Wodify Core. Customers on tiered pricing should contact Wodify Support at support@wodify.com to update this information.
