Deactivating and Reactivating Athletes

If an athlete is no longer attending your gym, it is best practice to deactivate their profile. You will not lose any information on inactive athletes and can reactivate them at any time should they decide to come back.

For Legacy customers: Inactive athletes will no longer be included in your monthly Wodify subscription bill.

 

In this article, we'll cover:

 

To Deactivate an Athlete:

  1. Login to Wodify Admin
  2. Go to People > Athletes
  3. Use the search bar to find the athlete
  4. Click on the name of the athlete you wish to deactivate
  5. Click the Actions drop-down menu in the top right corner
  6. Select Deactivate
  7. Confirm the deactivation (click OK in the window that pops up)

Note:

  • Deactivating an athlete automatically makes their membership inactive. Inactive membership cannot be restored. If an athlete is inadvertently deactivated or if they decide to come back to the gym, a new membership will need to be added to their profile.
  • Once an athlete is deactivated, they will no longer be able to sign in to Wodify or log results against WODs.
  • Deactivated athletes can be found under People>Athletes, in the Inactive tab. They can also be searched for using the ‘Shift - S’ global search function.
  • Any roles above Athlete (Coach, Manager, Admin, Staff) will have to be removed before the athlete can be deactivated (click here for more information on how to remove roles)

 

To Reactivate an Athlete:

  1. Login to Wodify Admin
  2. Go to People > Athletes
  3. Select the Inactive tab to display the inactive athlete list
  4. Use the search bar to find the athlete
  5. Click on the name of the athlete you wish to reactivate
  6. Click the purple Reactivate button in the top right corner

Note:

  • Once the athlete is reactivated, they can resume logging into Wodify and posting results to the coachboard
  • Reactivating will not automatically resend your Welcome Email, so you will want to send a reset password link from the Actions menu in the athlete’s profile if they can’t remember their login info

 

Tips & Tricks:

  • Only Admins and Managers can deactivate or reactivate an Athlete
  • Athletes cannot be deactivated if they have any permissions above Athlete (Coach/Manager/Admin). These permissions must be removed in the Profile section of your athlete profile before deactivating. Adding and Removing Permissions (Athlete, Staff, Coach, Manager, and Admin roles)
  • Athletes cannot be deactivated if they have overdue unpaid invoices
  • Athletes cannot be deactivated if they have unpaid non-membership invoices
