Step by Step Guide

How to access Marketing Emails:

  • Go to Communication > Marketing Emails

Mailboxes

You will be able to see your mailbox view on the left hand side to click through:

  • All Marketing emails
    • Sent - All emails that have sent
    • Scheduled - emails that have future dates to be sent out 
    • Drafts - emails that have not yet been sent and still have the ability to edit them and send it out
  • Archived - removing them from the inbox without putting them in the trash; emails that have been sent already
  • Trash - deleted after 30 days automatically

 

Building a Marketing Email

Click into Create Email, which will open up a new template to create and personalize for your clients and leads. You will want to ensure you fill out all required fields.

  • Email Name: Title of the Email for your own reference. This is used for internal purposes within the Inbox.
  • From Email: Sender's Email Address
  • From Name: Enter the sender's name, nickname, or gym name which appears in the recipient's inbox. This helps recipients quickly identify who sent the email.
  • Reply to: Allow no replies or choose the following:
    1. business email address
    2. location email address
    3. Admins, Managers, or Coaches Emails
  • To: Recipients determined at send time 
    • Select Segment(s) or create a brand new Segment 
  • Recipient Total: Actual recipients will be de-duplicated among Segments
    • Omitted if they’re unsubscribed and the email contains the Marketing Unsubscribe Link placeholder
  • Subject: Main purpose or goal of the email's content
  • Preview Text: Text that will display in your recipients' inbox instead of the first line of the email body (and Preview Text does not appear in the email body)

 

Drag & Drop Editor

This is an interactive drag-and-drop email editor that allows users to create responsive emails easily. Add and arrange content blocks, such as text, images, buttons, and social media icons.

  • Simply drag content blocks from the sidebar (e.g., text, image, button, divider) and drop them into your email layout.
  • Choose the Content Block to add different types of content to emails, such as text, images, buttons, and social media icons.
  • Once you add a block, you can customize it by clicking on it. This allows you to change the text content, image source, button links, colors, fonts, and more.
  • Uses Custom Branding colors by default, for links and buttons

 

Note: Placeholders allow you to personalize your email by including Business or Recipient information.

  • These appear in [brackets] when you're composing the email, but will be replaced by actual info in the Preview, and when the email is actually sent

IMPORTANT: The Marketing Unsubscribe Link placeholder will build an unsubscribe link into your email, and exclude any users that have already unsubscribed. Not including this link will send the marketing email to all recipients even if they're unsubscribed.

  • It is extremely important that you only send marketing emails to unsubscribed user to communicate critical business information

Rows: Use the "Row" tab to control the layout of your email. You can add rows to create different sections and arrange your content blocks.

Responsive design: Emails created with the Bee Editor will automatically adjust to look good on any device, including desktops, laptops, tablets, and smartphones.
Customization options: Users can customize the look and feel of their emails by changing the colors, fonts, and layout.

Preview: Regularly preview your email to see how it looks on different devices (desktop, mobile, tablet).

 

 

Note: All marketing email messages are logged as activity in the Activity Feed

 

Rich Text Editor

Looking for a simpler Rich-Text option? Simply select "Rich Text" option when creating a Mass Email, and you can use a more traditional email creation interface, as opposed to the Drag and Drop Editor.

Note: Switching back and forth between the Drag & Drop Editor and the Rich Text Editor will empty the contents of your current email's body.

 

Scheduling and Sending Marketing Emails

  • Send test: Good for checking formatting or placeholders in real emails
  • Send now: Sends immediately (usually delivers within a few minutes)
  • Schedule send: sends in the future and allows scheduling on 15-minute intervals
    • Can be edited or canceled any time before it sends
  • Saving drafts: save the email write up and you can send it later

Please Note: All work will always be auto-saved so no information is lost. These can be found in your Draft Inbox. 

 

Email delivery metrics

To locate this you will click into the delivered email and click into the number that was delivered

 

  • Total recipients: Delivered vs bounced
    • Aim for a bounce rate < 2% (5% at most)
  • Open rate
    • Always aim for 15-25%
    • We calculate engagement based on delivered emails, not sent. This means that the percentage you see is based on the number of recipients who actually had a chance to open or click your email.
    • We also do our best to filter out "system opens" that are performed by mailboxes (usually for spam checking and summaries), so the opens you see are all done by actual humans.
  • Click rate
    • Aim for 2-5%
    • Great use for when there is a Call to Action button
  • Unsubscribed
    • Aim for  < 0.5% (2% at most)
  • Marked as Spam
    • Aim < 0.1%

 

Troubleshooting- Rejected Status

  1. Rejected" does NOT mean it bounced; it means the email was unable to send in the first place
  2. First, try Duplicating the email and sending again
  3. If that doesn't work, try creating a brand new email; you can copy and paste from the old email to recreate this

Signatures in Marketing Emails

  • The [signature] placeholder will populate based only on what is selected in the From Name field. (Location, Staff). 
  • The [signature] placeholder will not populate anything if a Business name or custom alias is chosen in the From Name field.

The Location Signature Staff Signature will populate in your emails based on what is selected in the From Name (shown above).

 

Location Signature - [location-signature]

This is the signature you will see in your Marketing Emails by default. This signature will populate based on either:

  • The selected Location within the From Name field, or
  • The default location of the Admin who created the Marketing Email

Staff Signature - [staff-signature]

The Staff Signature will populate based on either:

  • The selected Staff member in the From Name field, or
  • The Admin who created the Marketing Email
