Wodify Payments Card Reader: Setup & Usage Guide

Card Readers are available for Wodify Payments customers! You can set up a card reader at your facility to process in-person payments, creating more opportunities to generate revenue and an easier checkout process for your customers. With the card reader, you can collect payment for client invoices and retail items.

Setup Instructions

Here are the steps needed to set up your Card Reader:

  1. Insert the battery into the Card Reader
    • If you encounter difficulty, please refer to this help article
  2. Select WiFi network 
    • Make sure this is the same network your computer is using to access Wodify Core
  3. Click the back button at the bottom of the screen to go back to the initial setup screen Credit_card_screenshot.png
  4. Click update to get the latest software
  5. Select your language
  6. Select the country where your device will be used
  7. Register your reader in Wodify:
    • Go to Financial > Settings > Credit Card Reader
    • Click the + Add Credit Card Reader button
    • Name your reader
    • Type in the pairing code you see on the reader screen including the dashes
    • Select the gym location your device will be used
  8. Wait for device updates and reader configuration (this may take a few minutes)

Using your Reader for Financial > Invoices

Your clients are able to use your Reader to pay their invoices.

  1. Locate a client invoice or create an invoice
  2. Actions > Pay Invoice
  3. Select your Reader in the dropdown
  4. Wait for Wodify to connect to the terminal
  5. Wait for Complete Payment to be clickable
  6. Click Complete Payment
  7. Confirm the total amount on Reader and insert, tap or swipe to pay
  8. Either approved or declined message will show up on the credit card reader, and the same message will show up in Wodify Core
  9. Credit cards will be stored on the account under the client profile (The new card will be set as the default payment method if there is not already a default payment method)

Using your Reader for Retail

Your clients are able to use your Reader to pay for POS retail items.

  1. Add item(s) to the cart
  2. Select your Reader as the payment method
  3. Confirm total amount on Reader and insert, tap or swipe to pay
  4. Either approved or declined message will show up on credit card reader, the same message will show up in Wodify Core.

Using your Reader for Drop-Ins (Kiosk)

Your drop-in clients can use your Reader via the Kiosk.

  1. Navigate to your Coachboard in the Kiosk
  2. Click Drop in? under the Sign-In button
  3. Select whether they have a Wodify account or not
  4. Select the Credit Card tab
  5. Select New Credit Card
  6. Select your Reader under payment method
  7. Confirm total amount on Reader and insert, tap or swipe to pay
  8. Either approved or declined message will show up on credit card reader, the same message will show up in Wodify Core.

Please Note:

  • Readers are available for use in Financial > Invoices and POS
  • Readers are not available for use on Online Sales Portal
  • Card information is saved to the client's profile when a charge is processed. Currently, we do not support ONLY saving cards and not charging the client
  • To access Settings on your Reader at any point, swipe from the left edge
  • To preserve battery life, you can lock your reader screen by clicking the power button once (click again to unlock)
    • For longer periods (ie overnight), shut down the reader by holding down the power button and clicking the shutdown option
