Why This Matters
Being able to confidently create, edit, and navigate classes keeps your schedule organized and your members informed. Wodify's redesigned Class Calendar gives you more ways to manage your day: multiple views, savable filters, a cleaner create and edit experience, and a combined view of classes and appointments when you need the full picture. The goal is less time managing the software, more time running your gym.
Pre-requisite Pro-Tip: Make sure your Programs and Class Types are set up before creating classes. Every class needs to be assigned to a program, so that's the place to start if you haven't already.
Another Pro-Tip: Coming from the old Class Calendar? Any default view you had saved will carry forward automatically to the new calendar. You won't need to reconfigure anything.
Step-By-Step How To
Switch calendar views
Use the view selector in the toolbar to switch between Day, Week, and Month. Click Today to return to the current date, or use the arrows to move forward and backward.
In Day and Week views, you can also switch to a multi-resource view to see each coach's schedule in separate columns side by side. This makes it easy to spot gaps or overlaps across your coaching staff at a glance.
Use savable filters
Filters let you cut through a busy calendar fast. Filter by coach, location, program, or class type, and save the combination so it's ready next time you log in.
- Click Filters in the calendar toolbar.
- Select your filter criteria.
- Click Save Filter and give it a name.
- To reuse it, open the Filters panel and select it from your saved list.
- To clear it, click the × next to its name.
Use the All Calendar view
The All Calendar shows classes and appointments together in one view, color-coded by type. It's useful when you need to see the full picture of your facility's day without switching between tabs.
- Navigate to Classes > All Calendar
- Click any event to open its detail modal and view or edit it from there.
Note: The Class Calendar, Appointment Calendar, and All Calendar are three separate views. The All Calendar is for reference, not your primary working calendar.
Create a class
You can create a class two ways from the Class Calendar.
Option 1: Click directly on the calendar
- Navigate to Classes > Class Calendar.
- Click any open time slot on the date and time you want the class to start. The full-screen Create Class modal opens.
- Fill in the class details: Class Name, Program, Coach(es), Date and Time, Duration, Capacity, and Location.
- To make it a recurring class, toggle on the recurring option and set the days and end date.
- To schedule an all-day class (for workshops, events, or anything without a set time), toggle All Day near the date fields. The time fields will hide and the class will appear at the top of that calendar day.
- Click Save.
Option 2: Use the Create button
- Click the + Create button in the calendar toolbar.
- The full-screen Create Class modal opens. Follow steps 3 through 6 above.
Note: When you add a client to a class that's already at capacity, Wodify will prompt you to add them to the waitlist rather than reserving them directly.
Edit a class
- Click any class title on the calendar to open the Class Detail modal.
- Make your changes and click Save.
Note: For recurring classes, you'll be asked whether to apply changes to this class only or this class and all future ones. Also, a class's Program and Location can't be changed after it's been created.
Manage coaches on a class
To update who's coaching a class without opening the full edit modal, click the class to open the Class Detail modal, then click the Ellipse Button - Manage Coaches. From here you can add or remove coaches and adjust the display order.
Reschedule a class by dragging it
Need to move a class to a different time or day? You can drag and drop it directly on the calendar.
- In Day or Week view, click and hold the class you want to move.
- Drag it to the new time slot and release.
- If the class has clients reserved or signed in, a notification modal will appear. You can choose to send them an in-app notification about the change before confirming.
- Confirm the reschedule.
Cancel or delete a class
When you cancel or delete a class, Wodify now gives you the option to notify your staff by email directly from the modal, so your coaches are in the loop without a separate message.
- Click the class to open the Class Detail modal.
- Select Cancel or Delete.
- In the modal that appears, check the box to email employees if you'd like coaches to receive a notification.
- Confirm the action.
Note: Canceling a class keeps it visible on the calendar as canceled. Deleting it removes it entirely. If clients are reserved or signed in, consider reaching out to them directly as well.
Embed the calendar on your website
You can embed your Class Calendar on your website so clients can view and book classes without logging into Wodify. To get the embed code, click the Embed icon in the upper-right corner of the Class Calendar. From there you can select which programs to display and access advanced settings for the embedded view. For full setup instructions, see Embed Classes on Your Website.
View your schedule on the mobile app
Coaches can check their classes on the go from the Wodify app. The My Schedule tab now has a date selector so you can jump to any date without scrolling.
- Open the Wodify app and go to the My Schedule tab in Coach View.
- Tap the date selector at the top of the screen.
- Pick the date you want. The schedule updates right away.
