Understanding your Invoice Statuses is key to efficiently and effectively managing your business. Each status helps you know what needs to be done to ensure your business's revenue is consistent. 
  


Step-By-Step How To

  1. Go to Financial > Invoices
  2. Find the Status Column
  3. Use this column to view each invoice's status
     

Invoice Statuses

  1. Unpaid
    • There has never been a successful transaction against the invoice
    • Unpaid invoices can have line items and header discounts added
    • Unpaid invoices can be voided
  2. Paid
    • The amount of the invoice has been paid in full
    • Returns, full refunds, and partial refunds can be applied to paid invoices
    • Invoices can never be partially paid - they must be paid in full
  3. Partially Refunded
    • Only part of the paid amount has been returned to the customer
    • An invoice will remain partially refunded until the full amount paid has been returned
    • You can not make a payment on a partially refunded invoice
  4. Refunded
    • The full amount of the invoice has been returned to the customer
    • Full returns are also considered 'Refunded'
  5. Voided
  • The invoice has been canceled and can never be processed
  • You can only set Unpaid invoices to Voided
     

FAQs

  1. How do I filter my invoices by status?
    In Financial > Invoices, you'll find a button that says + Filter - Click it and you'll see a dropdown menu of all your filtering options, including Status.
     
  2. I can't find an invoice in the client profile, but I know they have one. In the client profile, in Memberships & Payments, there are three built-in filters: Unpaid, Paid, and All. If the invoice Partially Refunded, Refunded, or Voided, then you'll find it in the All filter.
