The Marketing Email feature in Wodify allows you to efficiently communicate with large groups of clients, leads, or staff. To further personalize your communication, you can also connect your own email addresses and domain names as the sender for your marketing emails!

 

 

This article provides step-by-step instructions to connect your domain and/or email address, broken down into 3 sections:

  1. Managing Connected Domains

  3. Using Connected Email Addresses

 

Managing Connected Domains

You have access to one default Domain with your subscription: wodifymail.com. If you or your business has a custom domain name, you can have emails sent from that domain instead of from wodifymail.com!

 

Before you begin:

Connecting your domain to Wodify is an advanced operation. If you have any doubt about your ability to do this, please reach out to Support for help! Also, consider that you may want to connect individual email addresses instead (which is much simpler). See Why Use Domains? below to help make the decision.

We recommend checking your domain's deliverability before you begin this process. This will help uncover any existing issues that would come under a higher level of scrutiny if you connect your domain to Wodify.

  1. Find a domain testing site; we recommend mail-tester.com
  2. Follow the instructions to send them an email at the provided address
  3. Click the button to see your results
  4. Ensure that the "You're properly authenticated" section is a pass
    • If not, follow any suggestions to fix the problem(s) before proceeding; you can also reach out to your DNS provider for help!
    • Improperly-authenticated domains can have trouble delivering emails if they're connected to another service

 

Add a Domain

  1. Go to Communication > Settings > Domains & Emails
    • This is only visible to Admins, not Managers or Coaches
  2. Click the “Add Domain” option
  3. Enter your gym’s Domain name in the pop up, and click Add Domain

Note: This should only ever be done with domain names you're authorized to send emails from; i.e. domain names that you or your business already own. You will not be able to add common domains, like gmail.com.

 

Once you've entered your domain name, it should appear on your Connected Domains list in the Pending status. You will need to copy the CNAME and TXT records from Wodify, and enter the authentication info with your domain’s DNS provider.

  • CNAME and TXT records are authentication keys for your domain name; verifying that you're the real sender, even though it's being sent through Wodify
  • Click on your domain name for a list of these records to enter with your DNS provider

 

Typically, you can paste these into your domain registrar's portal using the following basic steps:

  1. Go to your domain registrar’s DNS Settings page
  2. Add a CNAME or TXT record
    • You’ll need to add 3 CNAME records and 1 TXT record
    • If your DNS settings already have a "_dmarc" TXT record, you do not need to add another one. However, we highly recommend the value include the "p=none;" parameter, for maximum deliverability.
    • You’ll need to add 2 TXT records if the domain has already been entered in the Wodify system by another gym
  3.  Copy and paste the host and value text from the Domain Information sidebar

Note: If your DNS provider is not listed above, we'd advise doing a Google search for “how to add DNS records to {{your provider}}”. You can also reach out to our Customer Success team at support@wodify.com if you’re having trouble!


Once these records are added to the DNS provider, it can take between 5 minutes and 48 hours to connect. You can click on the Domain and click the “Check Connection” button to see if this is finalized!

  • The domain will remain in Pending status until connection is complete
  • Wodify will check automatically every 6 hours, and send you an email when it’s connected
  • If it takes more than 72 hours, the connection will fail and we’ll send you an email notification

Tip: If this happens, double-check that you’ve entered your domain name and DNS records properly! 

 

To remove a Domain

If it’s in Pending status, you can click the Domain to open the sidebar, and click Remove Domain at any time. 

 

If it’s Connected, we recommend that before removing the Domain from Core, you remove the DNS records from your DNS provider. Leftover records can cause unforeseen issues in the future.

  • Be sure to ONLY remove records that you actually created when you first connected the Domain (use the Domain Information sidebar as a reference for which to delete)
  • This might mean leaving the TXT _dmarc record where it is, because it might have already existed (and when in doubt, leave it alone)

You can only remove the Domain if it’s not being used in any upcoming scheduled emails. This is to make sure you don’t do it by accident!

  • Click “Disconnect Domain” and confirm the removal

 

Managing Connected Email Addresses

This feature allows you to define which email addresses you can send emails from. You can use emails attached to your connected domain, or your email from another provider like Gmail or Yahoo!

 

You're also provided with one default connected email address for wodifymail.com

  • You can customize the “local part” of this default email address by clicking the pencil icon, but you cannot remove it
  • You can add more @wodifymail.com addresses if you want
  • @wodifymail.com email addresses cannot receive emails, they can only send
    • You must use a different reply-to address if you want to receive email replies

Click “Add Email Address” to create a new one. 

  • If the address is associated with a Connected Domain, it will be ready to send immediately
  • If the address is NOT associated with a Domain you've already entered, Wodify will send an email to that address with a link to click
    • Clicking the link in the email connects the email address and makes it ready to send
    • Links expire after a few days
    • If you don't receive an email at first or you can't track it down in your inbox, click the ellipsis (•••) > Resend Email

This means you can connect (and send from) email addresses from domains you don’t own, like gmail.com.

Tip: You can refresh the page to see updated statuses. Please be patient, because making these changes quickly just makes things not work well! 

 

 

Why use Domains?

It's easier to connect one email than it is to connect a domain. However, we recommend connecting a domain if you have one, because:

  • Emails sent from connected domains have better deliverability than emails from connected email addresses (mailbox providers trust them more)
    • You'll need to make sure your domain is well-configured for connecting to Wodify before you add it. See Before You Begin above for details!
  • If you're adding multiple email addresses, there's no need for multiple confirmation email processes (this can save time)

 

 

Using Connected Email Addresses

When composing a Marketing Email, you can now choose among any email addresses that are successfully connected

Admins can click the “Manage Connected Email Addresses” button at the bottom of the drop-down and edit their email addresses in the sidebar

To remove any connected email addresses, you can click the ellipsis (•••) > Delete, and hit confirm to finalize this.
