There may come a time when you need to transfer ownership of your Wodify account — whether you’re selling your business, retiring, or simply moving on to a new chapter. Updating account ownership ensures that the new owner has full access to your account, billing, and business data, while maintaining a smooth transition for your staff and clients.
We understand that taking over a new business can feel overwhelming. The last thing you need is confusion around your software and data — so we’ve made the process flexible!
- Want to keep things as they are? You can easily take over the existing account and make a few quick updates to make it your own.
- Prefer a fresh start? If you’d rather not inherit everything from the original account, we can help you set up a brand-new Wodify environment from scratch.
This guide will walk you through how to initiate a change of ownership, what’s required from both parties, and what to expect throughout the process.
Understanding Ownership Transfers
When you sign up with Wodify, you’re required to accept our Terms of Service (TOS). This agreement establishes the legal ownership of your account and the data associated with it — including business information, financial records, and client data. It also ensures that Wodify has the correct authorized contact for all account-related communication and support.
Here is a quick checklist of all the following steps:
- Sign a new Terms of Service (TOS) Agreement
- Add the New Owner as an Administrator
- Add new bank account information through Wodify Payments to collect revenue
- Update the payment method for the Wodify Subscription and billing account information
- Review the Wodify subscription and make updates as needed
- Meet with the Wodify team for an introduction, training, and support
- Clean up existing account data or request a new environment
1. Preparing for the Ownership Change
It’s helpful for the Wodify team to know the official transfer date. This allows us to prioritize your timeline and ensure that revenue is directed to the correct account on the correct date, reducing the chance of financial mix-ups. It’s also necessary to confirm the new owner’s full name and contact information before initiating the change.
2. Requesting the Change of Ownership
To initiate a change of ownership, please email support@wodify.com from your Admin email address to verify your request.
Keep in mind that the transfer of ownership request should be requested by the original signee of the TOS agreement.
The existing owner will:
- Create a new Admin profile in Wodify with the new owner’s information
- Confirm the official date for the change of ownership
- Send an email to Wodify Support to kick off the process
Include the following information in your message (you can copy and paste this template):
- New Owner’s First and Last Name
- New Owner’s Email and Phone Number
- Date of Ownership Change
- Does the new owner want to inherit the existing account or create a new account? Important: If the new owner prefers to start with a new account, all client credit card details, client and lead data, and workout histories can be securely transferred by our team.
Once your request is received, a Wodify team member will contact both parties to confirm and schedule a time to complete the ownership transfer process with the new owners.
3. Change of Ownership Complete: New Owner Responsibilities
Once the new owner has been authorized, it’s time to get started! You’ll work closely with the Wodify team to review your account setup, understand daily operations, and ensure a smooth transition. Our goal is to make this process as seamless as possible — we’re here to guide you every step of the way.
The new owner will:
- Book a call with a Wodify Customer Success Manager to complete a series of onboarding and training sessions
- Assume responsibility for the Wodify subscription
- Verify that the Wodify Payments account will be active and linked to their bank account on the switch date. Note: It is important for tax purposes that the new owner creates a NEW Wodify Payments account using the steps above, rather than updating the banking details in your existing account.
- Get excited — you’re ready to take your business forward with Wodify!
FAQs and Additional Notes
Can the original owner regain access later?
Yes, if the new owner chooses to allow them into the system! Cases vary, but the original owner can always stay in the system as an admin, coach, or client.
What if the business has multiple locations?
We only need this one process for all locations, so this only needs to be completed once! However, if the owner is selling one of the locations and keeping the remaining locations, we will need to complete a separate process called an environment split, which you can read more about here.
What happens to historical data, memberships, and reports if we opt for a new account?
All data can be transferred except for some of the historical reporting data! However, you can always export as much information from the original account as needed. This option ensures you can ‘start fresh’ while reducing any stress of transferring platforms.
