Pre-requisite Pro-Tip

Before you start using the Wodify Payments Card Reader, make sure:

  • Your business is located in one of the supported countries/regions listed in the Availability section below.

  • You have ordered and received your Card Reader. (This can be ordered in Financial settings)

  • Your Card Reader will connect to the same WiFi network your computer uses to access Wodify Core.
     


Step-By-Step How To

Understand Card Reader Use Cases

You can use your Wodify Payments Card Reader to process in-person payments for:

  • Retail (Point of Sale)

    • Speed up checkouts and eliminate third-party POS systems.

    • Keep all retail revenue and reporting inside Wodify.

  • Client Invoices

    • Have clients quickly pay outstanding invoices in person.

    • Avoid manually typing card numbers and expiration dates.

    • Automatically save new cards used for purchases directly to the client’s profile.

  • Drop-ins (via Kiosk+)

    • Let drop-ins pay on the spot with a fast, professional checkout experience.

    • Seamlessly convert drop-ins into clients with cards already linked to their profile.

 

Set Up Your Wodify Payments Card Reader

Follow these steps to set up your Card Reader for the first time:

  1. Insert the battery into the Card Reader.

    • If you encounter difficulty, follow the instructions included with your device or contact Wodify Support.

  2. Connect to WiFi on the reader.

    • Select your WiFi network on the reader.

    • Ensure it is the same network your computer is using to access Wodify Core.

  3. Return to the initial setup screen.

    • Tap the back button at the bottom of the reader’s screen.

  4. Update the reader software.

    • Tap Update to download and install the latest software on the device.

  5. Choose your language.

  6. Select the country where your device will be used.

Next, register the reader in Wodify:

  1. In Wodify Core, go to Financial > Settings > Credit Card Reader.

  2. Click + Add Credit Card Reader.

  3. Name your reader (e.g., “Front Desk Reader” or “Retail Counter”).

  4. On the Card Reader’s screen, locate the pairing code.

  5. Enter the pairing code exactly as shown, including any dashes.

  6. Select the gym location where this device will be used.

  7. Wait while the reader completes any remaining updates and configuration (this may take a few minutes).

Your Card Reader is now ready to use for invoices, retail, and drop-ins.

To access the reader’s settings at any time, swipe from the left edge of the device screen.

To preserve battery life:

  • Press the power button once to lock/unlock the screen.

  • For longer periods (e.g., overnight), hold the power button and choose Shut down.

 

Use the Card Reader for Financial > Invoices

You can collect payments for client invoices in person using the Card Reader.

  1. Locate or create the client invoice:

    • For help, see the Creating an Invoice help article.

  2. From the invoice, click Actions > Pay Invoice.

  3. In the payment screen, select your Card Reader from the dropdown.

  4. Wait a moment for Wodify to connect to the terminal.

  5. Once ready, Complete Payment will become clickable.

  6. Click Complete Payment in Wodify.

  7. Ask the client to verify the total amount on the reader, then insert, tap, or swipe their card.

  8. The reader will display an approved or declined message.

  9. The same approved/declined status will appear in Wodify Core on the invoice.

When a card is used successfully, it will be saved to the client’s profile.

  • If the client does not have a default payment method, the new card will be set as their default payment method.

 

Use the Card Reader for Retail (Point of Sale)

Use the Card Reader to accept payment for retail items at the Point of Sale.

  1. In Wodify Core, open the Point of Sale screen.

    • For help, see the Using the Point of Sale System help article.

  2. Add the desired item(s) to the cart.

  3. When ready to check out, select your Card Reader as the payment method.

  4. Ask the client to confirm the total amount on the reader, then insert, tap, or swipe their card.

  5. The reader will show an approved or declined message.

  6. The same approved/declined status will appear in Wodify Core for that sale.

 

Use the Card Reader for Drop-ins (Kiosk+)

Drop-in clients can pay via the Card Reader directly from your Kiosk+ Sign-In Panel.

  1. On your Kiosk+, open your Sign-In Panel.

  2. Tap Drop in under the Sign-In button.

  3. Select whether the drop-in already has a Wodify account or not.

  4. Go to the Credit Card tab.

  5. Select New Credit Card.

  6. Choose your Card Reader from the payment method options.

  7. Ask the client to confirm the total amount on the reader, then insert, tap, or swipe their card.

  8. The reader will display approved or declined, and Wodify Core will show the same status for the drop-in purchase.

As with other transactions, the card used will be saved to the client’s profile when a charge is processed.

FAQs

Will the Card Reader save my client’s card on file?
Yes. Whenever you successfully process a payment with the Card Reader:

  • The card used is saved to the client’s profile.

  • If the client does not already have a default payment method, the new card will be set as their default.

Currently, Wodify does not support using the Card Reader only to save a card without charging the client.

 

I have a different brand of card reader. How do I connect it to Wodify? Wodify is only configured to work with the BBPOS WisePOS E reader orderable within Financial Settings.
