Why This Matters

Gift cards can be a great way to build revenue, to bring in new members through their friends and family, and to use a rewards for challenges.

 


 

Step-By-Step How To

At this time, Wodify does not fully support the sale of a traditional gift card. However, our Product Managers are currently working on a solution as this has become highly demanded by our Admin! In the meantime, we recommend the following workarounds:

 

Selling a Gift Card through Point of Sale

Pros: This is the most efficient process with the least work for admins.

Cons: As Point of Sale is entirely internal and does not have links to products for external purchases, the purchaser will need to either make the purchase in person or provide payment details over the phone. This also doesn't allow for public advertising on the Online Sales Page.

  1. Go to Retail > Products > New Product
    1. Using Options, you can offer a variety of price points.
    2. Note: Although you may apply the amount to the recipient's client profile as a store credit, is it recommend that Store Credit is not set as the Revenue Category as the purchase cannot be completed if the purchaser does not have a client profile.
  2. Once the gift card purchase has been made, you can go to or create the client profile of the recipient and add the gift card amount as a store credit (paid for in cash), apply directly to an invoice, or if the purchaser paid for the full amount of a membership, add the membership to the client profile and apply a 100% off discount code.

 

Selling a Gift Card as a Membership

Pros: This option allows for advertising on the Online Sales Page.

Cons: If the purchaser is not already a member, this will generate a Client Profile for them that you/they may not need.

  1. In Classes > Programs, create a new Program called Gift Cards
  2. Next, go to Classes > Memberships > Create Membership > New Class Pack
    1. Select your new Gift Card program
    2. You can create multiple payment plans for each amount you want to offer
  3. Head to Legal > Waivers and create a gift card waiver and select the Gift Card program.
    1. In the Questionnaire section, add a question to collect the recipient's name and email address.
    2. You can use this information to either locate the recipient's existing Client Profile or in order to create one.
    3. If you like, you can also add additional questions or an area for the purchaser to put notes such as the date the recipient should receive their gift (put a reminder for yourself to apply it on this date in Communications > Tasks), if they would like it to apply toward a specific membership and the date that membership should start, etc.
  4. Once the gift card purchase has been made, you can go to or create the client profile of the recipient and add the gift card amount as a store credit (paid for in cash), apply directly to an invoice, or if the purchaser paid for the full amount of a membership, add the membership to the client profile and apply a 100% off discount code.

 

Sending a Gifted Membership or Drop-In via Permalink

Once you have decided which of the two methods above you would like to use, the gift-giver may want to send a gifted membership to the recipient themselves!

  1. Head to Financial > Settings > Discounts/Promo Codes
    1. + Promo Code
    2. Configure the settings you want -- you may want to consider setting an expiration date or use limit
    3. Save, and then be sure Drop-In and/or whichever memberships you wish to make available for gifting are selected in the opt-in segment that then generates at the bottom of the page.
  2. Go to Web & Mobile > Online Sales
    1. Click Drop-In/Membership name
    2. For Drop-Ins: You can click the permalink beside a specific Program, or scroll all the way to the bottom of the pop-out and select the permalink button under "Link to all public drop-ins"
      For Memberships: Select the permalink beside the correct payment plan
    3. Apply the promo code from the dropdown menu
    4. Copy
  3. Via Communication > Inbox, email the link directly to the client who made the purchase so they can share it with their friend!

 


 

 

 

 


 

FAQs

  1. "How can I get notified when a gift card has been purchased?"
    Answer: While these won't be gift card-specific, you can go to Communications > Automated Emails, and enable "Retail Purchase Notification" and/or "Signed Waiver" and enable for Admin to receive the notification emails.
  2. “Can gift cards expire, and how do I track that?”
    Answer: Wodify does not currently enforce expiration dates on store credit. If you would like store credit to expire, we recommend clearly communicating the expiration to the purchaser and recipient at the time of sale. You can track expiration manually by adding a note to the recipient’s Client Profile or by setting yourself a reminder in Communications > Tasks. If you’re using promo codes for gifting, you can configure expiration dates and usage limits directly within the promo code settings.
