Keeping detailed drop-in records helps you deliver a personalized experience via communication tools, stay organized across visits and payments, and turn one-time visitors into long-term members.

 


Step-By-Step How To

You can access detailed information about a drop-in client using two methods:

Wodify Core: Navigate to People > Drop-Ins and click their name, or the eye icon to the right of the drop-in's name.

Wodify Mobile App: Open the Employee View, then tap the drop-in's name within the class attendance list.

 

The Quick View panel that appears after the above steps gives you full context on a drop-in client and lets you take action directly from that screen:

  • Add notes — Record relevant context, such as whether the client is visiting from out of town or has prior experience at another gym.
  • Add and filter tags — Organize drop-ins with custom tags and filter your list by those tags.
  • View attendance history — See a record of all classes the drop-in has attended.
  • View associated invoices — Access a list of invoices linked to the drop-in, useful for sending copies or processing refunds.
  • Convert to a lead — If the drop-in is interested in a membership or eligible for a free trial, you can convert their profile to a lead directly from this view.

 


FAQs

  1. Can I create a new drop-in from this page? No; The Drop Ins page does NOT allow you to "create a drop in" record; This will happen when they sign up as a drop-in elsewhere, such as your Online Sales Page (OSP), Kiosk+ or Simple Sign-In.
  2. Why can't I see some of my older drop-ins on this page? The new Drop Ins will only appear on this page if they were added on or after January 1st, 2026. Any older records will still need to be accessed under Legal > Waivers > Signed. 
  3. Can I convert a drop-in to a client? First you will need to use the convert to lead option, and then that option will be available when managing their lead profile!
