Why This Matters
Wodify's integration with QuickBooks Desktop lets you reconcile your bank statements and monitor chargebacks, refunds, taxes accrued, and credit card fees from a single platform. By mapping your own chart of accounts, you can use your Wodify Payments payouts to manage your books directly in QuickBooks Desktop.

Prerequisites
📋 Prerequisites: Wodify Payments must be enabled on your account before you can use the QuickBooks Desktop integration.
Step-by-Step Instructions
Map Your Chart of Accounts (Recommended Once)
- Navigate to Automations > Integrations.
- Select Edit next to QuickBooks Desktop Export.
- Click into any default account name and replace it with your preferred account name.
- Select Save.
Multi-location businesses: Select Overwrite on the right-hand side of the integration screen to customize account names for a specific location.
Account Type requirements: The Account Types in your QuickBooks must match those in Wodify:
- Wodify Bank → Bank
- Wodify Sales Tax → Other Current Liability
- All Revenue Categories → Income
- Wodify Fees (sub-accounts) → Cost of Goods Sold
Tip: A colon (:) in an account name creates a sub-account on the export file. For example, "Wodify:Fees" creates a sub-account. Add or remove the colon to add or remove the sub-account.
Map Revenue Categories
- Navigate to Financial > Settings > Revenue Categories.
- Click on a label name (e.g., "Drop-in"), or select + New Revenue Category to create a custom category such as "Unlimited Membership."
- Enter your Accounting Chart Account.
- Select Save.
Export an IIF File from Wodify (Recommended Weekly or Monthly)
- Navigate to Financial > Payouts.
- Select the Not Synced tab.
- Check the box next to the payout you want to export.
- Select Bulk Actions > Sync to QuickBooks Desktop.
- The IIF file will download to your device.
Once exported, the payout is automatically tagged "Accounting Exported" and moves to the Synced tab so you can track which payouts have already been processed.
Import an IIF File into QuickBooks Desktop
- Open QuickBooks Desktop.
- Select File > Utilities > Import > IIF Files…
- Locate and select the IIF file you downloaded from Wodify.
- When the "Your data has been imported" window appears, select OK.
Payouts will be created as deposits in your Bank ledger, or as journal entries if the net payout was negative. Double-click any entry to view the transaction details.

FAQs
- "I can't find the QuickBooks Desktop integration under Financial Settings." → The integration was moved to Automations > Integrations. You'll find QuickBooks Desktop Export listed there.
- "My QuickBooks shows duplicate transactions after importing." → QuickBooks Desktop will not block you from importing the same IIF file twice. Use the Synced tab in Wodify to track which payouts have already been exported.
- "Why don't I see cash, check, or store credit payments on my IIF file?" → IIF files only include transactions processed through Wodify Payments. Use the Daily Cash report to reconcile cash and check payments, and the Revenue by Payment Method report for redeemed store credit.
