Why This Matters

Add an extra level of organization to your classes by adding bookable spots. Perfect for spin bikes, treadmills, yoga mats, functional fitness stations, pilates reformers, or anything else you want your clients to choose when booking a class.

In this article, we will cover:

• Building rooms and layouts
• Assigning layouts to classes
• Disabling spots
• Booking and updating classes with spot selection

Pre-requisite Pro-Tip

If you want to use spot booking for your classes, it's a good idea to set it up as early as possible, so clients have a chance to choose their spots.

Building rooms and layouts

A room usually represents a physical space in your building. Rooms can contain layouts, but if all you need is to identify which room a class takes place in, that's all you need to set up.

1. In Core, go to Classes > Settings
2. In the top section Room & Spot Selection, click the Manage Rooms button to present the sidebar
3. Click the Create Room button to add a new one, or select an existing room to edit
4. Choose the room's name, and select its location

Layouts represent an arrangement of objects inside the room. To add layouts to a room, click the Create Layout button (or select an existing layout to edit). This will present the layout editor.

In the Layout tab, you can:

• Set a name for your layout
• Set the dimensions of the room, in feet or meters (depending on your account settings)
  • We recommend making your layout taller than it is wide, because that's what fits best into the Mobile and Online Sales screens where it will be used
• Drag spots and objects onto the layout

You can have multiple layouts in one room, to represent different arrangements of equipment. Also note that you can duplicate both rooms and layouts, if you need to create new versions quickly.

Spots and objects

Setting up a layout allows you to add two types of item. Both of them have a Rectangle version and an ellipse version; to add one to the layout, click and drag it from the side.

Spots

A spot represents a space that a client can reserve for a class.

• Size cannot be changed
• You must enter a label so spots can be identified while booking
• You can optionally set an icon
• They appear orange in Core, and in your custom branding color in Mobile or Online Sales
• Can be disabled (see below)

By default, spots will be named automatically, in the order they're created. However, you can control the naming and the order by switching to the Spots tab.

• Drag spot rows to:
  • Re-order them for automatic naming
  • Set the order in which they appear when selecting from a drop-down
• Customize the prefix, starting number, suffix, and shared icon for automatic naming
• Or, disable automatic naming and set each spot's name and icon individually
• To set these on the layout, select a spot and click its "edit" button
  • Changing the name or icon here will turn off automatic naming for the whole layout

Objects

Objects are not assignable to class attendees; they're only there to represent features of the space, for client information and orientation.

• Examples: instructor platform, door, window, fan
• Can be resized
• Label and icon are both optional

While setting up your layout, use the editor's tools to present it accurately and cleanly, so it's easy for clients to understand.

• Hold SHIFT to align items to a grid
• Use the arrow keys to "nudge" selected items into place
• Select two or more items, and click one of the "align" buttons in the top right, to line them all up
• Select three or more items, and click the "distribute" buttons to space the items evenly
• Click the Preview button to display what the layout will look like in the mobile app

Assigning to classes

Rooms and layouts can both be assigned to classes, so attendees can see that information on their reservations. To assign, go to Classes > Calendar or List, select a class, and open its details page.

• In the Room & Spot Selection section, select a room
  • If you want to provide this information but not require attendees to select a spot, stop here
  • Click Manage Rooms to present the sidebar
• To assign a layout, toggle on "Spot selection enabled" and choose a layout from the drop-down
  • This will display the layout when people book this class in Mobile or Online Sales
  • Click Edit Room to create a new layout from the sidebar
• Save the class
  • If this is a Recurring Class, the change will be applied to all future instances of the class (unless that instance has a different layout assigned already)

Once the class is saved with the assigned layout, that class will automatically have reservations enabled, and the class limit cannot be changed (it will always reflect the number of non-disabled spots in the layout). You can also make changes to attendees' spots.

• In the Attendees section, select a spot from the drop-down
  • You can also change spots from the Calendar view pop-up editor
• Hover over the spot on the layout to show the assigned attendee's name
• Click the spot in the layout to disable for that class only (see below)
• If an attendee has an issue with their spot (for example, it's disabled), it will display a warning icon

Coaches can also make spot changes in the mobile app coach view.

• In the class detail, tap the spot name and select a new spot (or to un-assign)
• Tap the Preview button to see the layout with all the assigned attendees

Disabling spots

Sometimes things happen; spin bikes need maintenance, equipment goes missing, etc. In this case, it would be a hassle to create a new layout. It's better to disable the spot, and you can do that in two ways:

• Edit the main layout directly, select the spot, click the edit button, and check "disable"
  • This requires you to pick a date range, and the spot will be disabled for any classes during that time
• Open the class detail, select the spot, and check "disable"
  • This only disables the spot for the current class

If there is an existing reservation for a spot that gets disabled, Wodify will automatically reassign them to another open spot. However, if there are none, they'll be moved to the top of the Waitlist (or if there isn't one, their reservation will be canceled).

Booking & updating classes with spot selection

When a layout is assigned to a class, clients will have to select a spot when booking a class.

• In the Mobile app and Online Sales, the class reservation flow includes choosing a spot
• For reserved classes, clients will be able to switch to a new open spot from the class detail

In Core, coaches can also:

• Make changes to spot assignments
• Print out the layout (with or without attendees)
• Click to edit the main layout
  • When editing a layout that is assigned to future classes, spots cannot be added or removed
