Why This Matters

The Pay tab on a employee's profile is your one-stop view for managing an individual employee's compensation. It's where you set their default pay rates, configure fixed pay, and review their earnings across current and past pay periods.


 

Pre-Requisite Pro-Tip

  • Payroll must be enabled.

  • The Pay tab only appears on profiles for those with a Staff, Coach, Manager, or Admin role.

  • Only Admins and Managers can view and edit the Pay tab.

  • Coaches can view a read-only version of their own Pay tab (with limited detail).


 

Step-By-Step How To: Where to Find the Pay Tab

1. Navigate to People > Clients and find the employee's profile.

2. Click the Pay tab in the profile navigation.

The Pay tab is divided into two main sections: Pay Rates & Fixed Pay Settings and Payroll.

 

Section 1: Payroll

This section shows the employee's actual earnings data.

Current Pay Period

  • Displays the date range of the current open pay period.

  • Shows a summary of total earnings by type: Classes, Appointments, Administrative, Fixed Pay, Extra Earnings, Sales Commissions, and Gross Pay.

  • Each value is clickable. Clicking opens the corresponding sidebar (same sidebars you see in the main payroll screen), allowing you to review or edit the details for this specific employee.

Past Pay Periods

  • Displays a table of all closed/processed pay periods for this employee.

  • Columns: Pay Period (date range), Classes, Appointments, Administrative, Fixed Pay, Extra Earnings, Commissions, and Gross Pay.

  • Click any value to open the sidebar for that pay type in that period (read-only for closed periods).

 

Section 2: Pay Rates & Fixed Pay Settings

This section is where you configure the employee's default compensation. It contains four blocks:

Default Pay Rates for Classes/Programs

  • Set default pay rates for each program this employee coaches.

  • When you add this coach to a class in a program with a default set, the pay rate auto-populates.

  • Multi-select programs, then assign a Class-type pay rate to each.

  • A "Manage Pay Rates" link opens the pay rate management sidebar.

Default Pay Rates for Appointments/Services

  • Set default pay rates for each service this employee provides.

  • Works the same way as class defaults but for Appointment-type pay rates.

  • Multi-select services, assign a rate to each, and save.

Administrative Pay Rate

  • Set the pay rate used when this employee logs administrative hours.

  • Select an Administrative-type pay rate from the dropdown.

Fixed Pay

  • Enable or disable fixed pay for this employee.

  • When enabled, set the fixed pay amount, time period (per week, per month, or per year), and effective date.

  • After making changes to any block, click Save to apply.

History Sidebar

  • Access the History sidebar to see a chronological record of pay rate changes, fixed pay adjustments, and other compensation events for this employee.

  • Useful for auditing when and what changes were made.

Coach Permission View

Coaches can access a limited version of the Pay tab for their own profile:

  • They can see their current pay period earnings and past pay period history.

  • Pay rate details are displayed as descriptions (e.g., "$20 per class") rather than dollar amounts, depending on admin settings.

  • Coaches cannot edit pay rates or fixed pay settings

FAQs:

  1. Why don't I see the Pay tab on a client's profile?

The Pay tab only appears for clients with a Staff, Coach, Manager, or Admin role. If the client is a regular member, they won't have a Pay tab.

      2. Can coaches see their own pay information?

Yes. Coaches can see a read-only view of their own Pay tab through their profile or the mobile app (Settings > Payroll > My Pay). The level of detail visible depends on your payroll configuration.

      3. Do I need to save each block separately?

Changes across all blocks on the Pay tab are saved together when you click Save.

      4. How do I see a history of pay rate changes?

Use the History sidebar on the Pay tab. It shows a chronological log of all compensation changes for that employee.
