Why This Matters
Assigning a pay rate by hand every time you add a coach to a class or appointment is repetitive and easy to get wrong. Default pay rates let you set a coach's rate once—on their profile, or while building a program or service—so it pre-populates automatically whenever they're scheduled. Defaults are a time-saver, not a lock: you can override the rate on any individual class or appointment, and changing a default never changes assignments that already exist.
Pre-requisite Pro-Tip
Before you begin:
- Payroll must be enabled in Financial > Payroll > Setup.
- At least one pay rate must already exist (Financial > Payroll > Pay Rates tab).
- Only Admins and Managers can set default pay rates.
- The employee must have a Client Profile with a Staff, Coach, Manager, or Admin role.
Step-by-Step How To
Default pay rates can be set in several places. The Pay tab on a coach's profile is the central hub for one person's defaults; you can also set them in context while building a program or service. Wherever you set a default, it pre-populates the rate when the coach is scheduled and can be overridden on any individual class or appointment.
Option 1: Via the Pay Tab (recommended)
Use this to manage one coach's class, appointment, and administrative defaults in a single place.
- Navigate to People > Clients and open the employee's profile.
- Click the Pay tab.
- In the Default Pay Rates for Classes/Programs block, select one or more programs, then choose a Class-type pay rate for each program.
- In the Default Pay Rates for Appointments/Services block, select one or more services, then choose an Appointment-type pay rate for each.
- In the Administrative Pay Rate block, select an Administrative-type pay rate to use when the employee logs administrative hours.
- Click Save.
Option 2: Via a Program (Classes > Programs)
Use this to assign class defaults to one or more coaches while building or editing a program.
- Navigate to Classes > Programs and open or create a program.
- Scroll to the Coach Default Pay Rates block at the bottom of the side panel.
- Select one or more coaches from the multi-select dropdown.
- For each coach, choose a Class-type pay rate from the Default Pay Rate dropdown. Use the Manage Pay Rates link to create a new rate without leaving the panel.
- To assign the same rate to several coaches at once, select them with the checkboxes and use the Change Default Pay Rates action.
- Click Save.
If a coach has Fixed Pay enabled, the Default Pay Rate field shows "Included in fixed pay." Use Add Additional Compensation to assign a pay rate on top of their fixed salary.
Option 3: Via a Service (Appointments > Services)
Use this to assign appointment defaults per provider, per duration, and per location.
- Navigate to Appointments > Services and open or create a service.
- Find the Provider Default Duration Pay Rates block.
- Select one or more providers from the multi-select dropdown.
- For each provider, choose an Appointment-type pay rate under each duration column (for example, 30 min, 60 min, 90 min).
- To bulk-edit, select multiple providers and use the action dropdown to set the default for a specific duration.
- If the service is offered at more than one location, repeat for each location to set different defaults per location.
- Click Save.
You can also set a default from an individual class. When you assign or change a coach's pay rate on a specific class, you can set that rate as their default for the program going forward—handy when you're scheduling a coach and notice they don't have a default yet.

FAQs
Can a coach have different default pay rates for different programs?
Yes. You can set a unique default pay rate for each program. For example, a coach might have a Head Coach rate for your CrossFit program and a Group Coach rate for your Bootcamp program.
What if I don't see any pay rates in the dropdown?
You need to create pay rates first. Go to Financial > Payroll > Pay Rates and create the Class, Appointment, or Administrative rates you need. See Creating and Assigning Pay Rates.
Does changing a default update my existing class assignments?
No. Changing a default pay rate only affects future assignments. Classes and appointments that are already scheduled keep the pay rate they were given when the coach was added.
