Pre-requisite Pro-Tip

If you want to assign tasks to groups of staff (instead of one person), build an employee-only Segment first. Segments assigned to tasks can only contain Employees, Managers, and/or Admins (no Clients or Leads).

Step-By-Step How To

Access Task Management

  1. In Wodify Core, navigate to the Communication section.

  2. Open Tasks to view your task lists, filters, and search tools.

Create a New Task

  1. Open the task creator using one of the following:

    • Click + Task at the top of the Task Management screen

    • Click New Task in the custom nav bar at the top of your screen.

    • Use the keyboard shortcut Shift + T

  2. Enter the Task Contents (instructions).

  3. (Optional) Add a Task Comment to keep the task name concise while adding context. This is also very useful for sharing a link related to the task.

  4. Choose an Assignee (one person) or assign the task to one Segment.

  5. (Optional) Use People to tag a specific client for internal reference (clients cannot see tasks).

  6. Set a Due Date.

  7. (Optional) Turn on Recurring if the task should repeat.

Task window keyboard shortcuts (while typing):

  • @ to tag an Assignee

  • + to tag People

  • / to set a Due Date

 

Create a Recurring Task

  1. In the task editor sidebar, select Recurring.

  2. Set the first due date.

  3. Set the repetition period.

  4. Set an end period, or select Never to repeat indefinitely.

  5. When the assignee completes the currently-due task, it will automatically reappear with the next due date.

     

Communicate and Collaborate Within a Task

  1. Click the task title to open task details (contents, description, and comments).

  2. Add updates in the comments to keep collaborators aligned.

  3. Use @ to mention a teammate in a comment. Mentioned users can track updates from the Mentioned task list.

 

Manage Tasks in Bulk

  1. Select the View button area to locate the Bulk Actions entry point.

  2. Click Bulk Actions to reschedule, complete, reassign, or delete multiple tasks at once.

  3. Use bulk reassignment as a time-saver during staff transitions.

 

Understand Task Notifications

Wodify builds a task’s Followers list based on: the creator, the assignee, anyone mentioned, anyone who comments, and anyone manually added as a follower.

 

Push notifications

  • Creating a task: notifies followers (except the creator)

  • Completing a task (or marking complete → incomplete): notifies followers (except the person who took the action)

  • Commenting: notifies followers (except the commenter)

     

Emails

  • Creating a task: emails the assignee

  • Commenting: emails the person who was @ mentioned

     

View and Update Tasks in Coach View (Mobile App)

  1. On the Home screen, staff will see tasks with the soonest due dates in Upcoming Tasks.

  2. In the Profile tab, staff can view assigned tasks and recently completed tasks.

  3. Tap a task to mark it complete, edit it, delete it, or comment on it.

FAQs

Can I assign a task to multiple staff members?

A task can be assigned to one person or one Segment, and only one person can complete any given task. If multiple people need to complete the same work individually, create multiple tasks with individual assignments.

 

Can clients see tasks if I tag them in the People field?

No. The People field is strictly for internal reference—clients cannot view tasks even if they’re tagged.

 

Who gets notified about task activity?

Followers are determined by who created the task, who it’s assigned to, anyone mentioned, anyone who comments, and anyone manually added as a follower. Notification delivery depends on the action (create/complete/comment) and whether it’s a push notification or email.
