This is available on Subscription Tiers:
Grow, Promote, Free Unlimited, Essentials, Accelerate, & Ultimate.
Why This Matters
Wodify’s Inbox SMS feature is perfect for seamless communication between you and your members! Employees can now text leads, clients, and drop-ins from a business phone number in Wodify Core and Mobile, allowing you to quickly turn leads into clients and strengthen connections with current members.
Note: SMS is only available to our customers in the U.S and Canada at this time. SMS is included in all Essentials, Accelerate, and Unlimited plans, but the number of SMS messages included will vary by plan. Messages beyond your plan's limit cost $0.04 per message segment.
Essentials - 50 messages per month
Accelerate - 250 messages per month
Ultimate - 1,000 messages per month
Pre-requisite Pro-Tips
Receiving Permission from recipients:
To send an SMS message, you will need to be sure that your members check the permissions checkboxes.
- "Marketing" texts are promotional messaging, offering a product, service, or event
- "Transactional" texts are for critical information, like class times, door codes, and closure alerts
If you get consent from the member to opt-in on their behalf, these can be changed when:
- Creating a New Client
- Creating a New Lead
- Editing a Client, Lead, or Drop-In (with their explicit permission to opt into SMS)
Currently, Wodify does not send any Transactional messages; all messages are treated as Marketing. When people sign up on the Online Sales Page, they have the option of checking two separate boxes, but only Marketing will determine whether they receive texts from you.
Changing the value on a person's profile will change both of these statuses. We plan to update this soon!
Opt-In flow
You're required by law to set up your SMS opt-in (how members can choose to receive text messages from your business) with these traits:
- There must be two opt-in boxes: one for Marketing, and one for Transactional SMS
- The opt-in boxes must be un-checked by default, so the Lead makes the choice to check it
- The language about what they agree to by opting in must be clearly visible
- There must be links to both Terms of Service and Privacy Policy (Wodify creates these pages for you automatically)
- The screenshot must include your gym's name or branding, so the image is verifiably yours
The Wodify-generated Lead Form has all of these!
What are "message segments"?
SMS messages are billed by how many message segments you send and receive.
- Normally, 1 message segment = 160 characters
- If you send a message that's over 160 characters, it's split into multiple segments, and each one is 153 characters (the other 7 are used to reconnect the segments into one message)
- If special characters (like emoji) are used, 1 segment = 70 characters
- Multi-segment messages with special characters have 67 characters per segment
When you're composing a text message, we'll provide an estimate of your character and segment count, but actual billing may vary slightly.
Step-By-Step How To: Register a phone number
To enable SMS, you will first need to set up a Phone Number. To do this, go to Communication > Settings > Phone Numbers tab, and click CREATE NEW NUMBER. This will prompt you to choose between the two types of numbers:
Local Number
Local Numbers are available to Essentials, Accelerate, and Ultimate plans.
Local Numbers are currently in beta, and not available to all customers.
A Local Number (also known as 10-Digit Long Code, or "10DLC") is the most popular type of number for Wodify businesses.
- You choose your area code, so the number is more recognizable to your members
- Takes 2-4 weeks to complete setup
- No setup cost unless you plan to send more than 6000 messages per day (and then it's $40 one-time)
Setting up a Local Number
If you'd like to transfer a Local Number from another platform, see Transferring Your Phone Number into Wodify. You'll need to have an approved Brand and Campaign to use it, but you can start both processes at the same time.
-
Create your Phone Number - give it a name, location, and decide which of your Employees have access to it
- You can change both of these later
- The "location" refers to the "Default Location" that will be assigned to the Leads created from anonymous inbound text messages
-
Register your Brand - this registers your business (or your identity as a Sole Proprietor) with phone carriers, so they know who is sending from this number
- Usually takes about a week to get approved
- Requires information about your legal entity (LLC, S-Corp, etc) and an authorized representative
- Based on your entity and usage, you will be one of these types:
- Standard - for larger businesses who send a high volume of messages (over 6000 per day, or 2000 to T-Mobile customers)
- Low-Volume Standard (most common) - for normal businesses, who send fewer than 6000/2000 messages per day
- Sole Proprietor - when there is no legal entity
-
Register your Campaign - describe the types of messages you plan to send
- Takes 1-2 weeks to get approved
- Provide info about how recipients opt-in and experience your messages
- Requires URLs for your Privacy Policy and Terms & Conditions (but we generate default ones for you)
- Show some examples of the messages you'll send (but again, we provide some defaults)
-
Choose your number
- Enter the area code you want, and we'll show you which numbers are available
- Choose the one you want from the list, or refresh to fetch some new ones
- No separate approval; available immediately
Limitations of Local Numbers
- Entities have a maximum number of Brands:
- Sole Proprietor - up to 10 Brands per email/physical address
- Low-Volume & Standard - up to 10 Brands per EIN
- Brands have a max number of Campaigns:
- Sole Proprietor = 1 Campaign
- Low Volume & Standard = 5 Campaigns
- Campaigns
- Sole Proprietor
- 1 active number
- 3000 sent/received message segments per day (1000 for T-Mobile)
- Low Volume
- Up to 400 active numbers
- 6000/2000 segments/day (shared among all numbers in the campaign)
- Standard Business
- Up to 5000 active numbers
- 200k segments/day (shared)
- Limits reset at midnight US Pacific Time
- Sole Proprietor
Toll-Free Number
A Toll-Free Number is more often used for large national campaigns, rather than local businesses.
- Has an 8xx area code (800, 833, 855, etc)
- Slightly faster to set up than Local (1-2 weeks)
- No daily sending limit or setup cost
Setting up a Toll-Free Number
-
Create your Phone Number - give it a name, location, and decide which of your Employees have access to it
- You can change both of these later
- Choose your number
- We'll display a list of available 8xx numbers
- Choose the one you want from the list, or refresh to fetch some new ones
- Enter Business Info
- Your business entity type, and legal name
- This requires a registration number like EIN (as of Feb 16, 2026)
- Opt-In Flow
- Provide a screenshot of how members can opt into using this number
Step-By-Step How To: Add an Additional Number
If you have created your first number, you may need to create additional numbers for different locations or even different coaches/admins.
- In Communication > Settings, click the Phone Numbers tab
- Click Create New Number in the upper right
- Configure your number's properties
- Location: where inbound unknown messages are created as Leads. You will choose your other location here.
- For Local Numbers, you may reuse the Brand and/or Campaign, if you're still under the limits listed above
Step-By-Step How To: Send Messages
Once your Number is active, you will be able to send messages to members who have given you permission to text them! See Understand Wodify's Inbox for more information.
Note: If less than 3 texts are sent per month, your number may be deactivated.
SMS Compliance
Wodify's SMS Messaging feature requires compliance with the CTIA and wireless carriers' guidelines. These regulatory organizations can open an audit against anyone they find failing to comply.
According to the CTIA, you must always include the details below. We strongly recommend that you include the following details in your waiver to ensure your texts are compliant.
- "Message and data rates may apply"
- "Message frequency will be periodic."
- "Text STOP to unsubscribe" (STOP must be CAPITALIZED)
- "Text HELP for more info"
- Link to Privacy Policy
- Link to Terms & Conditions
