Why This Matters

Because Membership Pricing, Programs and Location access can change, there are times when you'll need to make updates to existing memberships. Rather than manually update each active membership, take a minute to read through how to use the mass add and/or remove features to make the administration of this task easy!

Step-By-Step How To: Update Pricing for Existing Clients

  1. Go to Classes > Memberships > Mass Update tab
  2. Under the Mass Update Membership Pricing section, click the Update Button
  3. Select which Payment Plan of the associated membership you would like to Update, then click Next.
  4. Select from the dropdown one of the following three options:
    1. New price
    2. Percentage amount the price will increase by
    3. Dollar amount the price will increase by
    • Note: The new price entered excludes taxes. If taxes are configured already in your financial settings and configured in the payment plan, then the tax rate will be reflected on the new price on the memberships and invoices.
  5. Enter the desired value
  6. Select Clients for Mass Update - Select the clients in this list of who you would like this pricing update to apply to and leave those you would not like to make the update for unchecked. You will also notice an "!" exclamation point next to clients that have a discount/promo code applied as memberships with a discount or promo code cannot be updated with the mass pricing tool. 
  7. Click 'Review' to go to the last page and confirm everything looks accurate. Click the "Update Membership Pricing to go to the last step.
  8. You will receive a pop-up whether you would like to email a new contract to these clients that reflects the updates or keep their current contract.
  9. Click 'Confirm' to finalize the mass update. You will receive a detailed email when the process has been completed.

 

Note: Any updates made to membership pricing via the Mass Pricing Update feature will take place on your clients’ next billing date, so you will want to make these changes during the period before the billing date when you want the new pricing to go into effect. 

 

Step-By-Step How To: Update Pricing for New Clients

  1. Go to  Classes > Memberships 
  2. Click into the membership template name that you would like to update
  3. Scroll down to the Payment Plan section and click on the payment plan that you would like to change
  4. Click to the Pricing tab and make your changes to the Initial AND Renewal Commitment prices
  5. Click 'Save' to save the changes to your payment plan
  6. Click 'Save' at the bottom of the membership template page before navigating away from this page.

 

Step-By-Step How To: Mass Update Membership Program Access

  1. Go to Classes > Memberships > Mass Update tab
  2. Under the Mass Update Member Programs Access section, click the Update Button
  3. Select the Program you wish to add to memberships from the dropdown
  4. Check which Memberships the Program should be added to
  5. Click Next
  6. Choose which Clients the Program should be added to
  7. Click Add Program Access

 

Step-By-Step How To: Remove Programs from Memberships

  1. Go to Classes > Memberships > Mass Update tab
  2. Under the Mass Update Member Programs Access section, click the Update Button
  3. Select the Program you wish to remove from memberships from the dropdown
  4. Check which Memberships the Program should be removed from
  5. Click Next
  6. Choose which Clients the Program should be removed from
  7. Click Remove Program Access

  1. Go to Classes > Memberships > Mass Update tab
  2. Under the Mass Update Membership Location Access section, click the Update button
  3. Choose the Location you wish to add to memberships from the dropdown
  4. Check which Memberships the Location should be added to
  5. Click Next
  6. Choose which Clients the Location should be added to
  7. Click Add Location Access


Step-By-Step How To: Mass Update Membership to Remove Location Access

  1. Go to Classes > Memberships > Mass Update tab
  2. Under the Mass Update Membership Location Access section, click the Update button
  3. Choose the Location you wish to remove from memberships from the dropdown
  4. Check which Memberships the Location should be removed from
  5. Click Next
  6. Choose which Clients the Location should be removed from
  7. Click Remove Location Access

FAQs

  1. "I am looking to update the billing interval/how often I bill my clients, such as from monthly to biweekly or every 4 weeks" Answer: you will follow the steps for "Update Pricing for New Clients" and adjust the duration along with the pricing adjustments. Afterwards, you will need to update each client individually by adding the new membership with the updates and deactivating or turning off auto-renew for their current membership. At this time, there is not a way to mass update clients with a new billing interval.
  2. "If I am planning on making a price update in the future, such as New Year pricing, when should I update this?" Answer: this depends on the type of billing that you do. If you bill on the 1st of the month and you want your new pricing to go into effect on January 1st, 2026; you should use the Mass Update Pricing feature between December 2nd and December 31st, 2025.). If you bill on the membership start date, this will be for your judgment as every member will have different start dates but keep in mind the pricing update will take into effect on the client's next renewal.
