Why This Matters

Before you are able to start charging drop-in clients on the Coachboard or Online Sales Page, you will need to configure your Drop-in session template. This article will walk you through how you can set up your drop-in membership template, edit the attached automated emails, and more!
 


 

Setting up Your Drop-in Membership Template

 

Step-By-Step How To

  1. Go to Wodify Core > Classes > Memberships > Class Packs
  2. On this list, click Drop-in
  3. Session Details:
    • Brief Description: Enter a brief description of your Drop-in, which will be displayed in the online sales page
  4. Payment Methods: 
    • Enable Drop-In Payments: allows you to accept payment in person from a Drop-In
    • No Charge Available: Toggle this on if you want staff to waive the Drop-in fee for visitors
  5. Fees: 
    • Tax: select a tax rate from the picklist
    • Non-Wodify Client Drop-in Fee: configure your standard drop-in fee
    • Wodify Client Drop-in Fee: You can also offer a specialized rate for clients who are current clients at another Wodify business - or keep these two rates the same.
  6. Click 'Save '

How to Edit Your Drop-in Automated Email Templates

Wodify provides two automated email templates that are triggered when a client signs up for a Drop-in on your Online Sales Page. This is a great place to include special class instructions or directions to your facility. 

  • If you choose to customize these messages, be sure not to adjust the fields listed in closed brackets [], as these fields pull directly from your Wodify environment. 

 

Step-By-Step How To

  1. Go to Wodify Core > Communication > Automated Emails > Classes
  2. On this list, click Drop-in 'Edit'
  3. You'll see two automated emails here:
    • Initial Email - Sent immediately after a client purchases a Drop-in session. 
    • Follow-Up: Attended Email - Sent shortly after the session that the client attended.

How to Enable Drop-in Reservations and Payments on Your Online Sales Page:

Setting your Drop-in live on your Online Sales Page will allow clients to view which classes are available, sign a waiver (if enabled), and check out all before entering the facility. 

 

Step-By-Step How To

  1. Go to Wodify Core > Web & Mobile > Online Sales
  2. Click into Drop-in
  3. Toggle to enable

  4. Select the Programs Associated with Drop-In Availability
  5. Select the Classes Available for Drop-In Reservations
  6. Pay Later at the Business: (Optional) Allow Drop-ins to pay when they enter the facility
    • It is good to note that we do not recommend this option as they will be reserved for the class without payment information yet on file for their class booking.

  7. Click 'Save'

Note: If a drop-in uses an email address associated with a lead profile, the reservation, payment, and waiver will be associated with that pre-existing lead profile. The lead profile's status is then changed to "Trial". This way, we help you capture your leads' interactions with your business!


Managing Drop-ins

Drop-ins are an excellent way to attract new leads and clients to your business! With one quick purchase, anyone can attend one of your classes. Afterward, you can engage with this individual to find the membership that's right for them.

What Makes Drop-ins Different?

When someone purchases a drop-in, they're indicating interest in your business but are hesitant to commit. Like a free trial, they're looking for a reason to experience what your business has to offer!

  • A profile is not generated for a drop-in. Since they're in this hesitant state, we want to make the sign-up process to be as quick as possible. By reducing the amount of required information for a drop-in, the acquisition rate is boosted. 
  • Drop-ins can't receive marketing emails, SMS, or in-app chat from your business from within Wodify. The way to engage with a drop-in is in person, before and after class!
  • Drop-ins don't sign a Contract - if it's something they'll need to sign for, make sure it's in your waiver instead.

 

Drop ins with show up with a pink ring around their profile picture in Core and Mobile App for the Coach View, this way they stand out from your clients to help focus engagement on getting them converted.

Flexible Drop In Pricing

Wodify allows you to customize drop-in pricing by location, class, and day to increase your revenue and help you manage non-member attendance! This feature can be used to set custom pricing for popular classes or one-off events.

 

Step-By-Step How To

  • Go to Classes > Memberships and select the Drop in System membership under the Class Packs tab. 
  • You can change your default pricing & tax rates based individually, for each location. 
  • From here you can also enable separate fees for Wodify users (at your business or other businesses), or disable the option with the toggle.

 

*Please Note: Changing this default option will adjust pricing only for new classes. Any existing classes will need to be changed individually (see below).


Adjusting Drop-In Pricing by Individual Class:

You can customize drop-in pricing for any individual or recurring class, and even offer different prices on different days of the same recurring class template!

 

Step-By-Step How To For Recurring Classes

  • Go to Classes > List > Recurring tab and select the class you would like to adjust. 
  • Under each day for the class there is an option to set a custom drop-in price for that class day.
  • This is a great option for classes that have higher average attendance or are on popular days/times.

Step-By-Step How To For Individual Classes

  • Create a one-time class from Classes > Calendar or Classes > List, or edit an existing class
  • At the very bottom of the class template, there is a field to enter custom pricing

Bulk Update Drop-In Pricing

You can update all drop-in prices across multiple recurring or one-time classes. This will change drop-in prices for all instances of the selected recurring classes for each day.

 

Step-By-Step How To

  1. Go to Class > List 
  2. Go to the Recurring or One-Time tab
  3. Check off any class you wish to switch
  4. Click the three dots icon and select Change Drop-In Pricing
  5. Set the new drop-in price for all of these classes
  6. Click Save

Using This Feature for Events  

Since you can set pricing for individual Classes this feature can be used to set up custom events like Seminars, Community Workouts, and parties with custom pricing or no charge for the drop-in. 

  • As a best practice, we recommend setting up a new Class program in Classes > Programs for events, to avoid affecting your regular class schedule and memberships.
  • You can add or remove the class program from memberships at any time by using our mass update tool, if you want to allow your current members to attend without having to pay. 
  • Attaching a waiver to this program will allow you to collect info and easily create lead profiles for attendees, too
