How can I track session memberships?

Many businesses use Session Plans that provide Clients access to a certain number of times over a certain period of time.  The following article explains how to create session plans, how Wodify records attendance, how Wodify tracks each Client's attendance against their Session Plan, and how to instantly display the number of sessions remaining for the Client upon sign-in and reservation.

Membership Plans and Clients

Before adding a Session Plan to one of your Clients, you must first create your membership plan.  Click here to learn how to create your membership plan template.

Recording Attendance

Once the membership is added to the Client, each sign-in the Client makes to the Coachboard will AUTOMATICALLY be recorded.  This includes sign-ins from the kiosk, their browser, or from a mobile device.

 

IMPORTANT!!! The Client MUST sign-in to the Coachboard in order to track his or her attendance.

 

Session Plan Report

Wodify has provided a built-in Report that will display all Clients with Session Plans, their attendance, and how many sessions they have left on their plan. To view the report:

  1. Login to Wodify Admin
  2. Click the 'Reporting' tab
  3. Click 'Attendance'
  4. View the report titled 'Clients With Session Membership'


Session Plans and Messages

You can choose to display both the number of sessions used and the number of sessions left to a Client upon sign-in to the Coachboard.  The messages are displayed when the Client signs in via the kiosk, a browser, or a mobile device.  To turn this option on:

  1. Login to Wodify Admin
  2. Click 'Classes' > 'Settings' > 'Membership'
  3. Click 'Membership Enforcement'
  4. Click 'Enable' to activate Membership Enforcement

With this turned on, there are 3 new fields displayed: 'Unlimited Plans Restriction' 'Limited Plans Messages' and 'Session Memberships Messages'.  This article's focus is 'Session Memberships'.  To learn more about 'Limited Plans', click here.

There are three options to choose from in the 'Session Memberships' dropdown:

  • Count & hide all messages
    • Clients will NEVER see a message that displays their sessions used and available on any device when signing into the Coachboard
    • Wodify will not prevent a Client that has exhausted all sessions on their membership from signing into the Coachboard
    • Attendance WILL still be tracked and available in the 'Clients With Session Membership' report. Admins monitor attendance with this report.
  • Count & allow over sign-in but display warnings
    • A message is displayed at the top of the Coachboard when the Client signs into the Coachboard on any device
    • The message will display "CLIENT NAME: You have used X of Y sessions in your plan":

    • Messages in blue automatically close after 15 seconds.  You can manually close the message by clicking the X in the top-right corner of the message.
    • Wodify will not prevent an Client that has exhausted all sessions on their membership from signing into the Coachboard. Instead, an orange message will be displayed:

    • Messages in orange can be manually closed by clicking the X in the top-right corner of the message.
    • Attendance WILL still be tracked and available in the 'Clients With Session Membership' report. Admins monitor attendance with this report.
  • Count & prevent sign-in/reservation if all sessions used in period
    • A message is displayed at the top of the Coachboard when the Client signs into the Coachboard on any device
    • The message will display "CLIENT NAME: You have used X of Y sessions in your plan":

    • Messages in blue automatically close after 15 seconds.  You can manually close the message by clicking the X in the top-right corner of the message.
    • Wodify WILL prevent a Client that has exhausted all sessions on their membership from signing into the Coachboard. Instead, ared message will be displayed:
