Creating Appointment Provider Availability

Once you've assigned providers for an Appointment Service, those providers should be able to set their availability for that service. This is what allows clients to book their own appointments for the service they have an appointment pack for.

Setting Provider Availability

To set a provider's availability:

  1. Head to People>Clients, and click on the provider's name to pull up their profile
  2. On the client profile, click on the Availability tab
  3. Next, click and drag on the calendar, to create availability for a block of time
    • Click 'Create Availability' now if this is one-time availability
  4. Select Repeat to set recurring availability 
    • Choose your custom repetition period from Repeat Every (day, week, 2 weeks, month, etc.)
  5. Select Save Changes then Create Availability to add your recurring availability

Once providers set their availability, clients who have the corresponding appointment pack will be able to book new appointments for this service!

 

Note:

  • Coaches can only adjust their own availability. Only Admins and Managers can make changes to another provider's availability
  • Admins can override any provider's availability on the Appointment Calendar, meaning they can still book an appointment for a provider at any time, regardless of their availability
  • Providers can set availability for multiple services at a time

 

Blocking Time on a Provider's Availability

Providers' availability for appointment services should be blocked automatically for any classes they are assigned to coach on your schedule, and any busy events on their Google Calendar (if they've integrated their calendar).

To block off any other time manually, you'll follow the same steps outlined for setting Availability above, but select "Blocked Time" instead of "Create Availability":

  1. Head to People>Clients, and click on the provider's name to pull up their profile
  2. On the client profile, click on the Availability tab
  3. Click and drag on the calendar, to cover the times you want to block off
  4. Select Blocked Time

  5. Review the details and click Create Blocked Time to save

 

Note:

  • Coaches can only adjust their own blocked time. Only Admins and Managers can make changes to another provider's blocked time
  • Admins can override any provider's blocked time on the Appointment Calendar, meaning they can still book an appointment for a provider during the blocked time
  • Blocked Time can not be set up with repetition; it must be entered for each day individually
