Wodify's new Payroll Tracker replaces the old Payroll experience with reusable pay rates, flexible assignment, appointment payroll, fixed pay, and a coach-facing Pay tab in the Wodify App. This article is your starting point: it summarizes what changed, shows you the new system in action, and points you to the step-by-step guide for each feature.

Pre-requisite Pro-Tip

Before you begin, confirm the following:

• Payroll Tracker is available to all businesses on Essentials, Accelerate, and Ultimate. Access it under Financial > Payroll.
• Only Admins and Managers can configure pay rates and manage pay periods. Coaches and Staff can view their own pay.
• Pay rates from the old Payroll do not carry over automatically. If you are moving from the old system, start with Upgrading to Wodify's new Payroll Tracker.

What's New in Payroll Tracker

One rate, any coach

You no longer need a separate rate for every coach-program-position combination. If five coaches are paid the same for a class, create one rate instead of five. Go as granular (CrossFit Level 3 Early AM Rate) or as broad ($30) as you like. See: Creating and Assigning Pay Rates

Flexible assignment

Set default rates by program, then adjust class by class anytime, anywhere you assign a coach. Defaults apply automatically to newly scheduled classes and can be overridden on any individual class or from within Payroll. See: Manage Default Pay Rates

Payroll for Appointments

Appointment providers can now be assigned pay rates and have their pay tracked alongside classes in the same pay period. Set default appointment rates per provider, duration, and location. See: Manage Payroll Rates in a Coach's Profile

More ways to calculate pay

• Fixed Pay covers salaried employees or employees with set monthly admin or task hours. Wodify calculates the amount for each pay period based on your payroll schedule. See: Fixed Pay Rates
• Percentage of session revenue for appointments covers revenue-share agreements with providers. See: Creating and Assigning Pay Rates

Coaches can see their own pay

A new Pay tab in the Wodify App shows each coach their own payroll, so they can check their earnings without asking you.

Staff can submit hours in the mobile app

Users with Staff permissions can now submit administrative hours from the Wodify App. Submitted hours appear in the Administrative sidebar of the pay period for your review. See: Administrative Hours in Pay Rates

Updated and faster management screens

The pay period table, sidebars, and no-show alerts have been rebuilt so you can review, resolve, and close payroll in fewer clicks. See: Manage and Run Payroll

Step-By-Step How To: Get Started

1. Go to Financial > Payroll > Settings and confirm your pay period schedule. See: Configure Payroll Settings
2. Go to Financial > Payroll > Pay Rates and create the reusable rates you will use for classes, appointments, and administrative hours.
3. Assign default rates to coaches by program (Classes > Programs) or on each coach's Client Profile > Pay tab.
4. Go to Financial > Payroll > Payroll tab, open the current pay period, resolve any red alerts, and click Close Pay Period when you are ready to pay out.

Coming Soon: Payroll Pro — Later this year, Payroll Pro will let you pay your coaches directly through Wodify. Everything you set up in Payroll Tracker today (pay rates, defaults, fixed pay, and pay periods) carries forward, so getting set up now means you will be ready on day one.

FAQs

Is Payroll Tracker the same as the old Payroll?

No. Payroll Tracker is a rebuilt system with reusable pay rates, appointment payroll, fixed pay, and a coach-facing Pay tab. Your old pay periods and pay rates are still viewable through the Legacy Payroll banner under Financial > Payroll, but new rates must be created in Payroll Tracker.

Does Payroll Tracker pay my coaches?

Not yet. Payroll Tracker calculates and tracks what each staff member has earned so you have clean, reconciled numbers for your external payroll provider. Direct payments to coaches are coming with Payroll Pro later this year.

Why don't my old pay rates appear in Payroll Tracker?

Pay rates intentionally do not carry over, because the new system uses fewer, reusable rates instead of one rate per coach. Follow Upgrading to Wodify's new Payroll Tracker to recreate them.
